The Sales Coordinator will be an integral part of our team, ensuring smooth operations and excellent customer service. This role involves a range of administrative and coordination tasks, allowing you to make a significant impact on our sales process. Your work will directly contribute to the success of our Sales Engineers and the overall growth of the company.
Key Responsibilities:

Customer Support:
- Address customer inquiries via email and phone in a professional and timely manner.
- Provide accurate information about products, services, and pricing.

Sales Quotation Management:
- Prepare and send sales quotations based on customer requirements.
- Follow up on sent quotations and update the sales team on progress.

Sales Coordination:
- Assist the UAE sales team in managing day-to-day sales operations.
- Coordinate with internal departments to ensure timely delivery of products and services.
- Maintain and update sales records, reports, and customer data.

Administrative Support:
- Ensure proper documentation of all sales-related activities.
- Monitor and respond to emails professionally, maintaining excellent email etiquette.
- Organize and schedule meetings for the sales team as required.

Data Management:
- Use Microsoft Excel to manage sales data, generate reports, and perform analysis.
- Maintain accurate records of customer interactions and transactions.
Qualifications and Skills:
- Minimum 1+ years of experience in a sales support or coordination role.
- Proficiency in Microsoft Excel and other MS Office tools.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- High level of attention to detail and accuracy.
- Good understanding of email etiquette.
- Ability to work collaboratively with the sales team and independently when required.
Responsibilities
- Provide administrative support to Sales Engineers, including quotation preparation, submittal management, and invoicing.
- Coordinate with customers regarding delivery schedules, order inquiries, and any post-sales support.
- Maintain accurate records and ensure timely follow-ups on customer requests and inquiries.
- Assist in data entry, report generation, and the organization of sales-related documents.
- Liaise with other departments to ensure a seamless flow of information and efficient order processing.
- Stay updated on product knowledge and industry trends to provide accurate information to customers.
- Support the Sales team during busy periods and assist in achieving sales targets.
- Handle customer complaints and provide effective solutions, ensuring customer satisfaction.
- Maintain a professional and positive attitude, representing the company's brand and values.
Qualifications
- Basic computer skills and proficiency in MS Office applications are essential.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with customers and colleagues.
- A willingness to learn and adapt to new systems and processes, especially regarding HVAC systems.
- Strong organizational skills and attention to detail to manage multiple tasks and prioritize effectively.
- Ability to work under pressure and meet tight deadlines while maintaining a high level of accuracy.
- A positive and proactive attitude, with a problem-solving mindset.
- Fluency in English is required, and knowledge of other languages is an advantage.
- Previous experience in a similar administrative or sales support role is preferred but not mandatory.
- A minimum of a high school diploma or equivalent; a college degree in a relevant field is desirable.
- A passion for customer service and a commitment to delivering exceptional support.
