The Executive Assistant to CEO at APPSeCONNECT will be responsible for managing the CEO's calendar, travel, and meetings, along with providing administrative and strategic support. This role requires handling confidential information, fostering stakeholder relationships, and solving challenges proactively. Flexibility and collaboration are essential in this dynamic, fast-paced environment.

Requirements

Your time will be invested in

  • Calendar Management 
    Efficiently manages the CEO's calendar by scheduling and prioritizing meetings, appointments, and industry conferences. Ensure seamless coordination of overlapping schedules, timely reminders, and thorough preparation for all engagements.
  • Travel Arrangements 
    Organize comprehensive travel plans, including flights, accommodations, ground transportation, and itinerary preparation. Optimize for cost-effectiveness and convenience while ensuring smooth execution of travel logistics.
  • Meeting Preparation and Coordination 
    Prepare detailed agendas, presentations, and documents for meetings attended by the CEO. Ensure all materials are distributed in advance, attend meetings to document key discussions, and follow up on action items to ensure accountability and progress.
  • Administrative Support 
    Deliver end-to-end administrative assistance, including managing correspondence, drafting high-quality reports, processing expense reimbursements, and maintaining organized records with precision and confidentiality.
  • Relationship Management 
    Act as a liaison between the CEO and key stakeholders, such as board members, clients, partners, and internal teams. Cultivate positive relationships while representing the CEO's office with integrity and professionalism.
  • Strategic Support and Analysis 
    Support the CEO on strategic initiatives, research projects, and decision-making processes. Conduct thorough analysis, gather relevant data, and present insights through well-structured reports to facilitate effective leadership decisions.
  • Confidentiality and Professionalism 
    Handle sensitive and confidential information with the utmost discretion. Maintain a high standard of professionalism in all interactions, safeguarding the integrity of the CEO's office.
  • Proactive Problem-Solving 
    Anticipate potential challenges and propose practical solutions to enhance the CEO's productivity. Proactively address issues, ensuring smooth operations and alignment with organizational goals.
  • Event and Conference Management 
    Plan and coordinate the CEO's participation in key events and conferences, ensuring thorough preparation, smooth logistics, and impactful contributions to the organization's reputation.
  • Operational Efficiency 
    Collaborate with various departments to streamline workflows and improve organizational processes, ensuring the CEO's time is utilized effectively and operations run smoothly.
  • Team Collaboration 
    Work closely with executive team members to ensure alignment on priorities, provide necessary support across functions, and facilitate effective communication between the CEO's office and other stakeholders.
  • Adaptability and Flexibility 
    Step into diverse roles and responsibilities as required by the dynamic needs of the CEO and the organization, ensuring seamless support in a fast-paced and evolving environment.

Required Skills:

  • 2-4 years of professional experience in a tech-driven environment.

  • Process-oriented & tech-savvy with the ability to thrive in a fast-paced work environment.

  • Stay updated with the latest trends in tech, software integration, and SaaS industries.

  • Agility to adapt to a startup environment, with strong attention to detail to ensure tasks are completed efficiently.

  • Understanding of project timelines and their business impact.

  • Experience in startups or entrepreneurial roles preferred.

  • Willingness to quickly acquire new skills to perform the job effectively.

Preferred Skills:

  • Experience in a startup or high-growth environment.

  • Knowledge of industry-specific tools or software is an advantage.

  • Analytical mindset with the ability to provide insights and recommendations based on data.

Qualifications:

  • Bachelor's degree in business administration, Communications, or a related field.

  • 2-4 years of experience as an Executive Assistant, preferably supporting C-suite executives.
