Knowledge Base Data Entry Specialist

Job Summary The Knowledge Base Data Entry Specialist is responsible for accurately inputting, organizing, updating, and maintaining content within the company's knowledge base systems. This role ensures that internal and external documentation is accurate, consistent, well-structured, and easy for end users to find and understand.

Key Responsibilities

  • Enter, format, and upload articles, FAQs, troubleshooting guides, and other content into the knowledge base platform according to established templates and style guidelines.
  • Review existing entries for accuracy, outdated information, broken links, and formatting inconsistencies, making corrections as needed.
  • Tag and categorize articles appropriately so content is easily searchable and properly organized within the knowledge base taxonomy.
  • Collaborate with subject matter experts, support teams, and product managers to gather information needed to create or update entries.
  • Proofread content for grammar, clarity, and adherence to company tone and style standards before publishing.
  • Track and report on data entry progress, identifying gaps or duplicate content that needs consolidation.
  • Maintain version control and document change history for major updates.
  • Respond to requests from internal teams to create or revise knowledge base content within agreed timeframes.
  • Assist in testing new knowledge base features or platform migrations as needed.

Required Qualifications

  • High school diploma or equivalent; associate's or bachelor's degree preferred.
  • Strong typing speed and accuracy (typically 50+ WPM).
  • Excellent written communication skills, including grammar and attention to detail.
  • Proficiency with common office software (Microsoft Office or Google Workspace).
  • Familiarity with content management systems or knowledge base platforms (e.g., Zendesk, Confluence, ServiceNow, Hubspot, Salesforce Knowledge) is a plus.
  • Strong organizational skills and ability to manage multiple tasks with competing deadlines.
  • Basic understanding of HTML or markdown formatting is helpful but not always required.

Preferred Qualifications

  • Prior experience in technical writing, content management, or customer support.
  • Experience working with structured content, metadata tagging, or taxonomy systems.
  • Familiarity with SEO best practices for searchable content.
