What would you tighten first if the operational layer behind 8,000 students' classes were yours to hold?

On a typical day you might load the week's workbooks to the LMS and student Drive folders before first class in the morning, sort out a scheduling clash with a tutor after lunch, and send the fortnightly class efficiency report to the Head of School with your split-or-merge calls before you log off.

Today we operate across three brands with 8,000+ students and 425+ team members: roughly 100 in India and 325 onshore in Australia. The India team runs publishing, student experience, CRM and technology, operations, and people and culture.

Every teaching week rests on hundreds of operational details being right. This is the seat that makes sure they are.

About This Role

You are the coordinator who runs the teaching week. The resources, schedules, and class data all have to be right before a student logs in, and you are the person who makes that happen, week in and week out. You own the weekly resource pipeline across the LMS, Google Drive, and Podia, including annotation workflows, consultations, scheduling, attendance tracking, and print management.

This is a hands-on, high-volume seat. You run the delivery, and you make the systems under it a little tighter each time you run them, but the master plan is not yours to own. The content-production plan and the academic calendar come from the Academic Program Manager. You work from the finished resources and the calendar they hand down, and you make each teaching week run on them cleanly. If a ready resource does not reach students on time, that is yours.

You also own class efficiency reporting. You identify classes that are under-capacity, over-capacity, or missing a tutor, and you bring the Head of School a recommendation. The Head of School makes the final academic calls on curriculum and staffing; you make sure the operational data behind those calls is accurate. You report to the COO, which keeps a direct line between ground-level operations and leadership.

You join an established coordinator team, each person owning a stream of the function. This seat picks up the resource, uploads, consultations, scheduling, and efficiency stream.

Class delivery for 8,000+ students only runs smoothly when this layer is reliable. Get it right and students never see the operational work underneath, which is exactly the point. By the end of month three, the weekly resource cycle across the LMS, Drive, and Podia runs without a missing file, consultations and attendance are under control, the class and consultation schedules are yours and accurate, the fortnightly efficiency report lands on time with clear recommendations, and you are running cleanly against the Program Manager's academic calendar. The first systems you have cleaned up are already saving the team time.

Where the work lives

  • Google Sheets: the trackers and reports live here, so clean and accurate sheet work is the baseline.
  • Monday.com: the school-management and scheduling backbone, so class codes, tutors, rooms, and timetable details have to match across it. You do not need prior Monday.com experience. You do need to be comfortable in that class of tool within a week.
  • LMS, Google Drive, and Podia: where weekly resources land, so disciplined file handling, naming, and version control is expected.

What You Will Do

  • Get every weekly resource where it needs to be before class. Upload workbooks, workshops, homework, and solutions to the LMS, student Google Drive folders, and Podia. Replace files when final versions land, hold future-week files until they are due, and check availability daily so nothing is missing when a class starts.
  • Own the annotation flow end to end. Upload workbook and workshop annotations, manage merged annotations, keep the LMS and Drive in sync, and track each one through to completion.
  • Run the consultation workflow. Consultations are the one-on-one sessions between a student and a tutor. Handle roster changes, tutor availability, missed-session checks, manual bookings, and student follow-ups, and close consultation tickets within a business day.
  • Own class and consultation scheduling. Build and modify class, consultation, intensive, and Queensland sit-in schedules, catch clashes before they reach a class, and escalate what you cannot resolve with clear context.
  • Read the class efficiency data and act on it. Review the fortnightly numbers to spot classes that are under-capacity, over-capacity, or missing a tutor, and bring the Head of School a clear recommendation to split, merge, or adjust.
  • Keep the schedules and print orders accurate. Own the class, consultation, and print schedules, produce the weekly Victoria and Queensland print orders against deadline, and work to the academic calendar (content drops, mock exams, milestones) the Academic Program Manager maintains.
  • Track attendance and clear the follow-ups. Check completion, send reminders, fix missed records, and chase tutors and team leads until gaps close.

Requirements

What You Need

  • You pick up new tools and platforms fast, and you are strong in Google Sheets: formulas, trackers, and large datasets. Experience with Monday.com or a similar project management tool is highly regarded.
  • A record of holding many parallel workflows without dropping accuracy, on a weekly cadence with hard deadlines: uploads before class, print orders before printing, schedule changes before cut-off.
  • The ability to read operational data and act on it, not just log it. You can see that a class is too small or a schedule clashes, and you propose the fix.
  • Clear, structured written communication. On a remote a sync team, the difference between a coordinator who works and one who does not is whether the team can see what is happening without having to ask.
  • Ownership by default. You follow up until the next action is confirmed rather than waiting to be chased.
  • Cross-timezone comfort. Your day runs on Indian hours, 9am to 5pm IST, with overlap into Australian business time.

Nice to Have

  • Experience with Monday.com or a similar work-management tool.
  • Experience with an LMS, scheduling systems, or academic operations in an education setting.
  • SOP writing, process improvement, or building dashboards and trackers in Sheets.
