Global Executive Office Associate

Location: New Delhi


The Drugs for Neglected Diseasesinitiative (DNDi) is an international, not-for-profit research and development (R&D) organization that develops and delivers new treatments for neglected diseases affecting millions of the world's poorest people.

Together with more than 200 public research and industry allies worldwide, we use the power of partnership, innovation, open science, and advocacy to find solutions to a great injustice: the lack of medicines for life-threatening diseases that disproportionately impact poor and marginalized people. Driven by collaboration, not competition, and by patients' needs, not profits, we promote equitable access, foster inclusive and sustainable solutions, and advocate for a more effective global biomedical R&D system that meets the needs of neglected patients.

13 new treatments for people with Sleeping Sickness, Visceral Leishmaniasis, Chagas disease, HIV, Hepatitis C, and Malaria that have saved millions of lives. We aim to deliver a total of 25 new treatments by 2028 – addressing R&D gaps for neglected tropical diseases and viral infections, including new pandemic-prone diseases (such as COVID-19) and climate-sensitive diseases (such as Dengue) with a focus on the needs of patients in low- and middle-income countries.

The Global Executive Office serves as Secretariat to the Executive Director, the Executive Team, the Board of Directors and its Committees, the DNDi Scientific Advisory Committee and other Committees of the organization. The Office also leads internal communication, facilitates internal leadership processes and supports the engagement of key external stakeholders.

Purpose of the position


The Global Executive Office Assistant is an active part of the highly collaborative Global Executive Office Team, offering administrative support and team coordination.

The Global Executive Office Assistant is an enthusiastic self-starter, proactive individual capable of working in a fast-paced, dynamic office. The role can be very busy and demanding and the Global Executive Office Assistant is very organised and able to handle a high workload. The Global Executive Office Assistant has the ability to prioritise and arbitrate tasks and is able to split their time between multiple teams.

The Global Executive Office Assistant is a professional Administrative or Executive Assistant, interested in and motivated by DNDi's work. An interest in scientific affairs/global health would be an asset but is not required.

Specific Job Responsibilities

1.** **Individual support to Directors

· Maintains and updates Directors' agendas.

· Maintains the DNDi Salesforce database for the contacts (including entering meeting information after events);

· Coordinates travel approval requests for the Directors' and the preparation of travel agenda and supporting documents.

· Organises the completion, execution, and SharePoint filing of key documents.

· Manages ad hoc requests (as capacity allows);


2.** **Team Meeting Coordination:

· Organises team meetings, including identifying suitable times, sending invitations, booking rooms, liaising with facilities and other relevant teams, and arranging catering (if needed).

· Organises external meetings, arranges logistic support for meetings as required.

· Sets annual calendar dates in coordination with other events and meetings.

· Creates agendas for team meetings and collate and circulate supporting documents.

· Takes notes during team meetings and follows up on action points.

3.** **Team Coordination and Administration:

· Approves leave requests for team.

· Organises team building activities and staff celebrations.

4.** **Acts as a link between the Directors, their teams, and the Global Executive Office:

· Acts as a link between the Directors, their teams and the rest of the organisation.

· Feeds internal communications channels with project progress and team events.

· Ensures the flow of relevant information between the Global Executive Office and the Directors and, accordingly, their teams and the rest of the organization. Facilitates internal planning. Collaborates and maintains active links with the teams to maximise internal coordination and communication.

· Works, as needed, on Global Executive Office projects.

Reporting line

• Executive Office Associate reports to the Executive Office Senior Officer.

Interactions

• Works closely with the Global Executive Office Team.

• Works closely with the DNDi leadership, the IT department and the legal department.

• This role maintains relationships with several organizational units including some outside DNDi, projecting image of a reliable service provider or partner. Interaction assesses issues and performance that facilitate or restraint service delivery.

Experience

· Over 3 years' relevant experience

· Proven ability to work effectively in a team environment and matrix structure

· Experience of working in public and private sector is highly desirable


Education

· Graduate university degree, Masters is a plus



Other Requirements

· Fluency in English

· Good knowledge of Microsoft Suite

Other information

· Status: Full time

· Working hours: Adjusted hours to allow overlap with working hours in Geneva. This will mean that the core hours will start at 11:30am till 7:30pm – IST (with some flexibility)
