JOB DESCRIPTION Position Details Particulars Details Department Stores Designation Assistant Manager – Stores / Stores In-Charge Location FRN Plant Function Supply Chain / Stores & Warehouse Job Purpose To manage end-to-end stores and warehouse operations, ensuring timely availability of materials for production and dispatch, accurate inventory control, SAP transaction accuracy, efficient material movement, proper storage, and compliance with company processes, SOPs, safety, and audit requirements. Key Responsibilities 1. Store Operations Manage end-to-end store activities including inward, storage, issue, transfer, return, and outward movements. Ensure smooth day-to-day operations of Raw Material, SFG, FG, Packing Material, and Consumables Stores . Ensure timely availability of materials as per production and dispatch requirements. Plan manpower and allocate daily activities based on workload and business requirements. Ensure adherence to approved SOPs and company processes. 2. Material Inward & GRN Management Monitor material receipts against Purchase Orders, invoices, delivery documents, and physical quantities . Ensure timely GRN creation in SAP after physical verification and Quality clearance. Coordinate with Purchase and Quality teams regarding shortages, damages, rejections, and discrepancies. Track pending GRNs and ensure timely closure within defined timelines. Maintain proper documentation for all inward transactions. 3. Inventory Management Ensure 100% accuracy between physical inventory and SAP stock . Monitor daily stock levels, MSL, buffer stock, and critical material requirements. Conduct regular cycle counts and periodic physical stock verification. Investigate stock discrepancies and implement appropriate corrective actions. Monitor and control excess, slow-moving, and non-moving inventory. Ensure FIFO/FEFO practices wherever applicable. Maintain proper inventory records and documentation. 4. Production Material Management Ensure timely issue of materials against approved production requirements. Coordinate with PPC and Production teams for daily and advance material requirements. Monitor critical and shortage materials to prevent production stoppages. Ensure material returns from production are properly recorded and accounted for in SAP. Monitor material consumption and identify abnormal variances. Ensure uninterrupted material availability to support production schedules. 5. SAP & Transaction Management Ensure accuracy and timely completion of all Stores-related SAP transactions. Monitor GRN, material issue, transfer posting, stock adjustment, material return, and other relevant transactions . Ensure physical material movement is accurately reflected in SAP. Identify and resolve SAP stock mismatches in coordination with Finance, IT, and SAP teams. Maintain proper approval and audit trails for inventory adjustments. Ensure compliance with SAP transaction procedures and controls. 6. Storage & Warehouse Management Ensure proper bin/location management, material identification, labeling, and traceability . Maintain appropriate stacking and material preservation standards. Optimize warehouse space utilization and material movement. Ensure implementation of 5S, housekeeping, safety, and storage standards . Control unauthorized material movement and access. Ensure safe handling and storage of materials. 7. Stock Reconciliation & Audit Conduct regular physical inventory checks and cycle counting. Prepare stock variance reports and implement corrective actions. Support internal, external, and statutory inventory audits. Ensure inventory records and supporting documents are maintained accurately. Close audit observations within committed timelines. Drive continuous improvement in inventory accuracy and control. 8. Team Management Lead, supervise, and manage the Stores team effectively. Allocate manpower based on workload, production priorities, and operational requirements. Train team members on SAP, inventory processes, SOPs, safety, and material handling . Monitor team performance, productivity, discipline, and attendance. Ensure adherence to company policies and operational procedures. Develop team capability through regular training and coaching. 9. Cross-Functional Coordination Coordinate closely with PPC, Production, Purchase, Quality, Finance, Logistics, and Sales/Dispatch teams . Escalate critical material shortages, inventory discrepancies, and operational issues to management. Participate in daily production and supply chain review meetings. Support planning and execution of material availability for production and dispatch. Drive cross-functional resolution of material and inventory-related issues. Support continuous improvement and process optimization initiatives. Key Performance Indicators (KPIs) Inventory accuracy – 100% physical vs. SAP Timely GRN processing and closure of pending GRNs Material availability for production without stock-out-related stoppages Reduction in excess, slow-moving, and non-moving inventory Timely completion of cycle counts and stock reconciliation SAP transaction accuracy and compliance Audit observation closure within defined timelines Warehouse space utilization and 5S compliance Team productivity and adherence to SOPs Reduction in material discrepancies and inventory variances Qualification & Experience Educational Qualification Diploma / Bachelor's Degree in Supply Chain, Logistics, Operations, or a related discipline. Experience Relevant experience in Stores / Warehouse / Inventory Management , preferably in a manufacturing environment. Hands-on experience in SAP MM / inventory transactions is preferred. Experience in managing a Stores team and coordinating with Production, PPC, Purchase, Quality, and Finance functions.
