Job Description
• Calculating, posting business transactions, processing invoices, verifying financial data for use in maintaining accounts payable records • Process invoices with PO / Non-PO • Review invoices and requisitions for satisfactory payment approval • Ensure quality of AP processes, handling of all not compliant and not standard processes within the country • Verify and calculate all extensions and totals on invoices (calculating and taking discounts when applicable) • Check vendor files for any previous payments and assign voucher numbers. Prepare vouchers listing invoice number, date, vendor address, item description, amount and coding per accounting policies and procedures • Identify & implement AP improvements • Vendor reconciliation and manage vendor payments cycle, GRIR reconciliations, Vendor advance etc
'Transportation Planning :
Ensure all outbound deliveries are planned for execution considering defined cut off time agreed with O2C & relevant guidelines for Vehicle Fill Rate

Review Freight Orders with relevant resolution request created by Transport Optimizer in Operational Visibility Tool (OVT)

Identify customers corresponding to the Freight Order (FO) requiring resolution
-
Interact with customer solution analyst (CSA) to act upon the resolution requests for increase of loads to fulfil Vehicle Fill Rates (VFR)
-
Planning/Replanning of Freight Units (FU) after resolution of request & tendering the same to carriers to handover to Service Specialists
-
Advise Transport Supervisor to act in case no resolution possible ensuring service to Customers & handling exceptions
-
Review & Contact Warehouse teams & customer solution analyst (CSA) teams for unplanned Freight Units (FU) in excess of 48 hours
Replan the Freight Units:
-
Select relevant planning profile and move plannable Freight Units into transportation cockpit (Replan)
-
Check vehicle fill rate and then accept if the minimum criteria is met
-
Tender load or place indent to transporter through tendering profile in SAP TM
-
Create route plan for dedicated van and create freight orders according to the plan
-
Create pre-booking freight orders from dispatch plan shared by factory deployment team

Collaborates with Load Compliance lead for resolution of unplannable freight units
On Time Pick Up Management:
-
Collaborate with scheduling specialist and ensure dock appointments are captured in freight orders
-
Monitor operational visibility tool to gauge that all the loads are covered
Load Completion:
- Ensure shipment end date and time is captured basis PoD acknowledgement
Financial Approval:
-
Check whether all the loads are planned as per cluster
-
Ensure business share is maintained in route guide compliance
-
Guard tendering of load as per rank list generated in freight order quadrant
-
Use subcontracting statuses for spot tendering
-
Maintain audit trail for all manual changes done in freight order
Continous Excellence and Customer Satisfaction:
Participate in operational review meetings and contribute to continuous improvement initiatives of transportation operation process
Provide 360 visibility on status of open outbound deliveries to Units and internal team leads
