We are looking for a detail-oriented and proactive Admin Executive to oversee end-to-end administrative operations including travel coordination, vendor management, IT inventory tracking, facility upkeep and corporate gifting. The role requires strong organizational skills, effective communication and the ability to seamlessly collaborate with internal teams and external partners. Key Responsibilities 1. Travel Management Coordinate domestic and international travel bookings (flights, hotels, cabs, visas). Maintain a database of preferred travel partners, rates and negotiated deals. Ensure timely issuance of travel itineraries and support employees during travel-related issues. Track travel expenses and ensure adherence to company travel policy. 2. Vendor Management Identify, evaluate and onboard vendors across admin categories (Insurance, travel, stationery, facilities, gifting, IT, etc.). Negotiate pricing, contracts, SLAs and ensure vendor compliance. Maintain vendor performance records and drive periodic reviews. 3. IT Inventory & Asset Management Maintain accurate records of IT hardware & software assets (laptops, accessories, licences). Coordinate with IT/support teams for issuance, repair, replacement and returns. Track AMC, warranty status and ensure asset availability for new joiners. Maintain documentation and logs for asset allocation and deallocation. 4. Gifting & Procurement Management Source and manage corporate gifting for employees, events, clients and festivals. Work with vendors for design, customization, packaging and delivery timelines. Ensure budgeting and approvals for all gifting initiatives. Maintain stock and oversee end-to-end gifting logistics. 5. Facility & Office Management Oversee daily office facility operations (cleanliness, security, pantry, housekeeping). Coordinate with building management for repairs, maintenance and compliance. Ensure smooth functioning of office utilities such as internet, electricity and seating arrangements. Manage office supplies inventory and procurement. Coordinate with the finance team for timely rental payouts 6. General Administrative Responsibilities Support HR and Admin teams during onboarding (kit preparation, desk setup, access cards). Manage courier services, ID card issuance, access controls and document archiving. Assist in planning office events, celebrations and engagement activities. Handle petty cash, maintain admin MIS reports, and ensure adherence to budgets. Ensure timely renewals of office-related licences, insurances, and agreements.
Eligibility Criteria
Bachelor's degree in any discipline. 1–4 years of experience in office administration or similar roles.
