Program Overview for Sustainable Cities and Transport
WRI India's urban development work aims to transform the way cities are planned and designed to ensure that urban development benefits people, nature and climate. Job Highlight:
You would provide administrative, organizational and communications support to the Urban Development senior management team. Your role requires cross-functional collaboration and will involve a variety of tasks related to internal and external coordination, reporting, events and logistics management in a dynamic and time-sensitive environment.
This role would be a good platform for a candidate interested in building experience to move into project management, human resources, or operations roles; or for an administrative professional interested in growing towards an Executive Assistant role.
What will you do:
Travel Coordination & Expense Management (50%)

Assist management team with domestic and international travel arrangements, including flights, accommodation, transportation, visas, and itineraries.

Manage travel changes and troubleshoot logistical issues as needed.

Track travel-related expenses documentation and prepare and submit management team's expense reports in a timely and accurate manner.
Meeting Support & Event Logistics (30%)
- Provide event coordination, vendor outreach, and logistics support to WRI India's urban development initiatives, in close consultation with internal teams and other stakeholders.
- Support preparation for meetings and external engagements – including scheduling, office logistics, catering, and preparation of materials in coordination with the management team.
- Support budget tracking and administrative expense monitoring, including reconciling receipts, invoices, and requisitions on Workday system.
- Coordinate with finance teams regarding reimbursements and approvals.
Document Management, Reporting, and Other Administrative Support (20%)
- Provide day-to-day administrative assistance to senior leadership, such as calendar/schedule management and coordinating follow-ups on action items.
- Prepare meeting minutes, briefing notes, presentations, and reports, ensuring that documents are accurate, well-formatted, and delivered on time.
- Organize and maintain records, databases, and administrative systems.
- Assist with special projects and cross-functional coordination as required.
What will you need:

Bachelor's degree in a related discipline.

At least 2 to 4 years of work experience in an administrative, coordination, or stakeholder management capacity in a reputable organization is preferable.

Excellent communication, administrative, organizational, and interpersonal skills.

Experience in working effectively and respectfully in diverse teams, maintaining professionalism in all interactions with both internal and external audiences.

Detail oriented, able to manage multiple priorities, ensure highest standards of integrity and confidentiality in work and while handling sensitive information.

Strong computer skills including high level of comfort with Microsoft Office (Excel, Word, PowerPoint, Outlook, SharePoint) and web-based communications (Teams, Zoom).

Experience using Workday is desirable.

Interest in the environment / sustainability / urban development fields is desirable.
Location: Mumbai (preferred), Bangalore, Delhi
Potential Salary and Benefits: INR 9,50,000 to 12,00,000
Salary shall be commensurate with experience, skills, and internal parity. WRI India offers a generous and comprehensive benefits package.
Duration: 1 Year Term Hire (Extendable based on performance and project requirements)
